We take your privacy and the security of your personal data very seriously. 

This Privacy Policy explains in detail the types of personal data we may collect about you when you interact with us. It also explains how we will store and handle that data and keep it safe.

There is a lot of information here, but we want you to be fully informed about your rights and how the Edge Monday Badminton Club and/or the Edge Thursday Badminton Club (the "Club") uses your data.  We hope the following sections will answer any questions you may have; if not, please don't hesitate to contact us by email at [email protected].

For ease, throughout this Notice, ‘we’ and ‘us means the Edge Monday Badminton Club.

Who are the Edge Monday Badminton Club?

We are a volunteer-run, not-for-profit Badminton Club based in Haslemere, Surrey. We are affiliated with Badminton England, which is the National Governing Body for the sport of badminton in England.  We love playing badminton, and we want everyone in the local area to do the same and become part of our badminton community, whether as a player or a volunteer.

Who are the Edge Thursday Badminton Club?

We are a group of local badminton players based in Haslemere, Surrey. We are not currently affiliated with Badminton England. We want to give strong intermediate and advanced badminton players the opportunity to play competitive badminton with other like minded players.  

Why do we collect your personal data?

The law on data protection sets out a number of different reasons for which an organisation, like ours, may collect and process your personal data, including:

Performance of a contract

If you are a member with us, we have to collect and process your data in order to run the club for you and to provide you with access to our club playing sessions.

Consent

In specific situations, we can collect and process your data with your consent. For example, when you tick a box to join our social media groups.

Legal compliance

If the law requires us to, we may need to collect and process your data. 

Legitimate interest

In specific situations, we require your data to pursue our legitimate interests in running and promoting badminton in the Haslemere area and which does not materially impact your rights, freedom or interests. We will use your details to send you information promoting membership of the club and club sessions, activities and events, that we think may interest you.

When do we collect your personal data?

We may collect your personal data: 

  • When you become one of our members
  • When you visit our Club website at www.edgebadminton.spond.club
  • When you contact us by any means with a question or a complaint
  • When you take part in any of our fundraising
  • When you choose to complete any surveys that we may have sent you
  • When you’ve given a third-party permission to share with us the information, they hold about you.

What sort of personal data do we collect?

We collect:

  • your name, gender, date of birth, address, email address, contact telephone number, emergency contact name, address and contact phone number
  • the name, email address and contact phone number of your emergency contact
  • the name, address, email address, contact telephone number of your parent/guardian if you are under 18 years of age
  • details of your interactions with us through our website and in person. For example, we collect details of any complaints you make and the web pages you visit
  • Information gathered by the use of cookies in your web browser. To deliver the best possible web experience, we may collect technical information about your internet connection and browser as well as the country and telephone code where your computer is located and the web pages viewed during your visit
  • Your social media username, if you interact with us through social media channels.

We’ll only ask for and use your personal data collected for the purposes of managing your membership with us and for recommending club events and sessions so that we can tailor your experience with us. It’s always your choice whether you share such details with us.

How and why do we use your personal data?

We need to use your personal data if you are one of our members in order to fulfil our obligations to you and provide you with the best experience of our club.

The data privacy law allows this as part of our legitimate interest in understanding our members and providing the highest levels of service. If you wish to change how we use your data, you will find details in the ‘What are my rights?’ section below. Unfortunately, if you choose not to share your personal data with us, or refuse certain contact permissions, we may not be able to allow you to be a member of our Club.

How do we protect your personal data?

We know how much data security matters to all our members, so with this in mind we will treat your data with the utmost care and take all appropriate steps to protect it.

How long will we keep your personal data?

Whenever we collect or process your personal data, we will only keep it for as long as is necessary for the purpose for which it was collected. This period will include the time when you are a member of the Club and for 3 years following the date when you notified us of your wish to leave the Club. At the end of this period, your data will either be deleted completely or anonymised, so that it can be used in a non-identifiable way for statistical analysis and business planning.

Who do we share your personal data with?

We do not share your personal data with any third-parties, except for the following parties whose services are fundamental to our running of the club:

  • Badminton England, for the purposes of providing public liability insurance and for the purposes of affiliating with them.
  • Surrey County Badminton Association, for the purposes of our membership
  • Spond, for the purposes of providing our website and membership database and for the use of the Spond App.

Here is the policy we apply to those organisations to keep your data safe and protect your privacy:

  • We provide only the information they need to perform their specific services
  • They may only use your data for the exact purposes we specify with them
  • We work closely with them to ensure that your privacy is respected and protected at all times
  • If we stop using their services, then we will work with these third-parties to ensure that the data held by them will either be deleted or rendered anonymous.

What are your rights over your personal data?

You have the right to request:

  • Access to the personal data we hold about you, free of charge (unless charges apply to us in fulfilling your request)
  • The correction of your personal data when incorrect, out of date or incomplete
  • That we stop using your personal data for publicising our Club (either through specific channels, or all channels).
  • That you be "forgotten" or have your data erased, in certain situations.

How can you withdraw consent?

Whenever you have given us your consent to use your personal data, you have the right to change your mind at any time and withdraw that consent.

Where we rely on our legitimate interest

In cases where we are processing your personal data on the basis of our legitimate interest, you can ask us to stop for reasons connected to your individual situation. We must then do so unless we believe we have a legitimate overriding reason to continue processing your personal data.

Where we rely on your consent for marketing or social media

You have the right to stop the use of your personal data for marketing activity through all channels, including social media. We must always comply with your request.

How can you ask to be forgotten?

You can ask us to be forgotten by sending an email request to [email protected] 

Please note that you may continue to receive communications for a short period after changing your preferences while our systems are fully updated.

How can you contact the Regulator?

If you feel that your data has not been handled correctly, or you are unhappy with our response to any requests you have made to us regarding the use of your personal data, you have the right to lodge a complaint with the Information Commissioner’s Office. You can contact them by calling 0303 123 1113 or by going online to www.ico.org.uk/concerns (please note that we can't be responsible for the content of external websites).

If you are based outside the UK, you have the right to lodge your complaint with the relevant data protection regulator in your country of residence.
